About The Position

The primary objective of this position is to provide administrative support to the Collateral and Custody Department while presenting a professional and welcoming first impression to office visitors. This individual will greet walk-in visitors and direct them appropriately; notify company personnel of visitor arrivals; receive mail and other package deliveries; and provide various clerical support services to other departments within the company. While this position is not part of the Customer Service department, the individual will provide basic customer service functions to incoming customer calls, as appropriate. This role is fully on-site, at our Irvine location. Schedule is 8:30 am to 5:30 pm. This individual will interact with both external parties and internal users. External parties include visitors, job applicants, mail carriers, facilities personnel, and walk-in customers. This position reports to the Vice President of Collateral and Document Custody. The successful candidate is self-directed in work prioritization and demonstrates good judgment-making ability within the scope of the position’s areas of responsibility. The associate will perform all duties in accordance with AutoNation Finance policies and procedures and all state and federal regulations

Requirements

  • Minimum high school diploma or equivalent.
  • Minimum one-year previous experience in a receptionist, administrative assistant or customer service position.
  • Familiar with Microsoft Office and Office365.
  • Familiar with Microsoft Excel and Microsoft Word
  • Familiar with web navigation and/or web-based applications.
  • Familiar with the operation of a console-based telephone switchboard.

Nice To Haves

  • Bilingual in English/Spanish preferred.
  • Knowledge or familiarity with the consumer financial services or DMV industry is a plus.

Responsibilities

  • Oversee front desk activities; receive and logs express mail packages; receive other package deliveries, prepare manifests for outgoing packages and notify recipients of delivered and sorted mail
  • Coordinates and processes office supply ordering, including monitoring supply levels.
  • Updates servicing system with dealer updates received via email and follows up on electronic communication
  • Ability to handle multiple tasks with varying priorities in a dynamic environment, doing so efficiently and productively.
  • Provides excellent customer service.
  • Has excellent written and verbal communication skills
  • Other duties as directed by manager.
