The Receptionist is responsible for answering incoming calls on a multi-line phone system. Greets and welcomes visitors.

Requirements

  • High school diploma required and some college preferred or equivalent combination of education and experience.
  • One year of previous experience preferred in an administrative capacity
  • Ability to speak and understand English
  • Organizational skills
  • Customer-focused
  • Adaptable / flexible to high-pressured environment
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Email, and Internet
  • Good written and verbal skills communication to record and relay messages
  • Professional and courteous phone manner
  • Ability to calculate figures and amounts such as freight rates, discounts, and other percentages

Nice To Haves

  • Bilingual English/Spanish skills preferred

Responsibilities

  • Identifies administrative needs and develops appropriate solutions and/or recommendations.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access and issues ID Badges according to company policy and TSA regulations.
  • Tracks and logs all overnight packages, and contacts the person to whom addressed.
  • Sort incoming mail and process outgoing mail, including intercompany mail if applicable
  • Process office supplies order
  • Update internal phone list on a monthly basis.
  • Performs other duties as assigned such as assisting other departments.
  • Always check with supervisor prior to committing to any other project or assignment.
