About The Position

The Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. Continuously offers the highest level of service to all corporate employees and their visitors. Maintains a professional image of the company by providing prompt, courteous, and efficient service. As an effort to be a cross-trained team player, the receptionist may be called upon to assist in other SPS service areas such as, but not limited to mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience. Overall, this position continuously offers the highest level of service to all clients and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.

Requirements

  • High School Diploma (or equivalent) required
  • 1–3 years of administrative, reception, or concierge experience preferred
  • Strong problem-solving and analytical skills
  • Proficiency (or ability to learn) multi-line phone systems, MS Office, PC/Mac systems, and multifunctional office equipment
  • Ability to work assigned schedule and maintain a professional appearance

Responsibilities

  • Deliver 5-star customer service to employees, visitors, and callers in all forms of communication.
  • Answer and route incoming calls, including confidential global calls, in a professional and timely manner. Escalate issues as appropriate.
  • Greet visitors, ensure NDA compliance, and log entries in the visitor registration system.
  • Issue and manage facility access cards and temporary badges; follow up on unreturned badges and coordinate with Security as needed.
  • Maintain and update company phone and speed dial lists.
  • Notify employees of deliveries or route items to the Mail Room as appropriate.
  • Provide administrative support such as scheduling meeting rooms, ordering catering, preparing materials, and assisting with special projects.
  • Set up and maintain meeting rooms, reception, pantry, kitchen, and conference areas.
  • Monitor and replenish office and pantry supplies.
  • Assist with copy/print requests and ensure office equipment is functioning properly.
  • Train and support a designated back-up on procedures and policies.
  • Maintain professionalism, discretion, and composure when handling sensitive matters.
  • Proactively seek additional tasks during downtime and provide back-office support as needed.
