About The Position

To ensure that residents, staff and visitors are received in an excellent and professional manner and that the reception area operates a high-quality service at all times.

Requirements

  • A high school diploma or general education degree (GED); one to three months related experience and/or training preferred
  • Fluent in speaking, reading and writing English
  • Proficient in computer skills, including database software and Microsoft Office
  • Strong communication skills and proficient math and analytical skills
  • Excellent customer service skills
  • Excellent time management and organizational skills
  • Ability to prioritize and multitask
  • Ability to respond effectively in an emergency or crisis situation

Responsibilities

  • Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel.
  • Monitors all incoming and outgoing activity of residents and guests.
  • Document daily log notebook appropriately and thoroughly.
  • Monitors visitor access and issues passes when required.
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Monitors emergency pull cords and records each incident accurately in the daily log note book.
  • Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate personnel or department.
  • Answers questions about organization and provides callers with address, directions and other information as needed.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Maintains key control and issues new apartment keys as needed.
  • Provides information as needed for management and emergency personnel.
  • Prepares and distributes in-house forms, reports, etc.; also, creates daily and weekly menus on computer and prepares them for distribution.
  • Performs clerical duties as needed, such as filing, photocopying and collating.
  • Creates and prints fax cover sheets, memos and other documents as instructed by management.
  • Sends faxes upon request, retrieves and routes incoming faxes, assists users.
  • Receives, sorts, routes mail and packages and publications; understands the operation of Postage Machine and uses it in accordance with company requirements.
  • Ensures medication deliveries are handled in an efficient manner and sent to the appropriate resident and/or wellness center immediately upon receipt.
  • Accepts payments for services and products.
  • Takes Dining Room reservations and completes reservation form as needed.
  • Locks and unlocks entrances and exits.
  • Performs evening rounds on each floor.
  • Has complete understanding of Emergency Fire Alarm Panel and knowledge of how to direct staff when the alarm sounds.
  • Assists marketing department with photocopies and mail campaigns; will also put together marketing brochures.
  • Flexible to cover other shifts to accommodate sick days and vacations when other Receptionists are absent.
  • Know where supplies are located throughout the facility (plungers, towels, sheets, etc.)
  • Be able to troubleshoot internet and Wi-Fi issues when system goes down.
  • Performs other duties as assigned.
