About The Position

Come and work for a 5 Star Facility! Currently we are filling a Full-Time Receptionist position at our Chester Clinic. Monday - Friday, 8-9 hour shifts schedule. Additional shifts could be available to cover time off needs on the weekends with the hospital. The receptionist is responsible for greeting all patients or other visitors that present to the Clinic directing them to the appropriate department or waiting area. As the main operator he/she directs phone calls to the appropriate departments. Monitors the patients in the reception area and ensures providers’ schedules are templated according to each providers’ instruction.

Requirements

  • Education: High school diploma or equivalent
  • Experience: Physician office experience preferred. Basic computer skills are required and electronic medical record (EMR) knowledge is preferred.
  • Requirements: Onsite work requirement at Steeleville or Chester Clinic.
  • Vaccinations per IDPH, CDC, and CMS.
  • 100% on-site position. Sits, types, reaches, operates keyboard, photocopier, telephone, and other office equipment up to 85% of the day. Normal range of hearing and eyesight are required. Includes stooping, crouching, grasping, standing, lifting up to 35 pounds up to 15% of the day.
  • Resourcefulness and ability to meet demands of high volume, fast paced work environment.
  • Ability to multitask and work efficiently.
  • Ability to adapt to change in assignment as needed.
  • Strict confidentiality required for this position.
  • Must maintain privacy of patients’ and staffs’ personal protected health information at all times, including when on duty, off duty, and after employment ends.

Responsibilities

  • It is imperative that this employee have a pleasant disposition and is able to perform well under pressure and in stressful situations.
  • This employee is responsible for completing patient registrations in Practice Management System (PMS) and maintaining those demographics for accuracy
  • Updates or verifies insurance coverage, financial information, identification and takes appropriate action if no coverage can be determined
  • The employee collects and receipts insurance co-payments or any balance due amounts on accounts, reconciles these amounts at the end of the day and prepares the bank deposit
  • Shares in the responsibility of mailing “No show” letters to patients as directed by the provider.
  • This employee shares in the responsibility of answering the phone and sets future appointments informing the patient of any past due balances that needs paid on or before the day of the visit.
  • Coordinates with Medical Records Clerk on deceased patient records process
  • In the event that a doctor has to reschedule his day, this employee shares in the responsibility of calling the patients and rescheduling those patients’ appointments if time permits
  • Sends out the providers’ schedules to the patient call system to remind patients of their future (usually next day) appointment (CC only). The next morning this employee checks the list for cancellations and informs the clinical staff at Chester Clinic and Steeleville Family Practice receptionists
  • The receptionist organizes and supervises prescriptions, orders and other health care documents that patients are going to pick up at the reception desk, dating those items when they go in the folder and reviews the folder once a month.
  • The reception team is cross-trained and often times their duties are interchangeable and will share in the daily responsibilities
  • Monitors inventory and requests supplies from the Chester office. (SFP only)
  • Reception will share in retrieving faxes from the front office fax machine and giving it to the phone nurse or physician. (SFP only)
  • Other duties as assigned by RHC Director or Business Office Manager to meet the needs of the patient population and practice
