About The Position

One of the fastest-growing accounting firms in the country is seeking a Receptionist who is motivated to learn, excited to collaborate and passionate about delivering outstanding results. This individual will have a direct impact on our firm’s mission of serving as a catalyst for those striving to achieve their highest potential. In this role, you will play a crucial role in creating a first impression for the Firm. You will provide receptionist support to the entire Firm but work closely with the Office Manager and other members of the Support Team providing regular support with other clerical duties as needed. To be successful in this role, you must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving internal and external clients.

Requirements

  • Communicate effectively in speaking or writing as appropriate for the needs of the audience (e.g., in person, over the phone, etc.)
  • Strong project management skills and the ability to handle multiple projects at once
  • Work extended hours during peak seasons.
  • Handle requests from multiple areas of management and multi-task.
  • Provide high client service in a professional manner.
  • High school diploma or equivalent required.
  • 4+ years of experience in a professional support role.
  • Experience with Microsoft Office programs including Word, Excel, Outlook, Teams and PowerPoint.

Responsibilities

  • Maintain the Firm’s reception area.
  • Answer the Firm’s main phone line and route incoming calls professionally and appropriately.
  • Answer inquiries about the Firm.
  • Greet, assist, and/or direct vendors, guests and clients.
  • Maintain security by following procedures and monitoring visitor logbook.
  • Notify staff members on arrival of guests.
  • Validate parking for clients.
  • Track parking validation usage, purchase parking validations as needed.
  • Coordinate and schedule various daily deliveries via courier’s website.
  • Sign for and distribute incoming courier packages and overnight deliveries.
  • Approve and reconcile courier charges for clients.
  • Enter courier and UPS charges into CCH Axcess and post for Finance Dept.
  • UPS and Federal Express Administrator on accounts.
  • Train new staff and backups to work reception desk.
  • Schedule meetings as needed for staff, reserving in-house conference rooms through Outlook.
  • Support Office Manager with day-to-day activities.
  • Assist Support Staff as needed.
