About The Position

Cabot Corporation is seeking a front desk Receptionist to join the team at the headquarters Boston, MA location. This critical role represents our team and serves as the first point of contact for guests, vendors, catering services, etc. visiting our busy office from 7:30 a.m. to 4 p.m., Monday through Friday. Additionally, this person ensures the efficient flow of delivery receipt, visitor processing, and event support. This individual’s role will include supporting day-to-day operations, greeting guests and vendors when they arrive on-site, explaining how to navigate our office, managing our incoming and outgoing mail, delivering packages. As well as stocking the kitchen and maintaining weekly supply inventory. The ideal candidate will be friendly, resourceful, and proactive in managing a wide range of administrative and front-desk responsibilities.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • 2+ years of relevant work experience in a front facing role (reception/front desk/similar role) in a professional setting
  • Ability to maintain a regular in-office presence required during core hours (7:30 AM – 4:00 PM) Monday through Friday
  • Dependable, punctual, and consistently professional in demeanor and at all times
  • Solid written and verbal communication skills with a customer service-oriented approach
  • Excellent organizational, time management, and multitasking abilities with a proactive, problem-solving mindset
  • Proficiency in Microsoft Office suite (including Excel, Word, MS Teams) and general office technology

Nice To Haves

  • Experience working with external vendors, managing visitor processing, and supporting catering services is preferred

Responsibilities

  • Coordinate office logistics including visitor badging, hotel office assignments, deliveries, and event support (set-up and clean-up)
  • Greet and welcome guests upon arrival and direct visitors to the appropriate person and office
  • Maintain a professional, organized and presentable reception area at all times
  • Receive, sort and distribute mail and deliveries daily and ensure outgoing mail and shipments are properly prepared and delivered
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Maintain an accurate inventory of office and kitchen supplies and reorder supplies as required
  • Manage office calendars, schedule conference rooms and hotel offices/desks, and assist with coordination of internal meetings
  • Maintain a clean and organized kitchen area, including wiping down surfaces, tidying spaces, and cleaning coffee machines and beverage equipment
  • Support overall office operations by checking and replenishing supplies in both the supply room and kitchen areas
  • Perform additional administrative and clerical duties such as filing, photocopying, scanning mail and document organization
