About The Position

Under the direction of the Director of Facilities and Public Safety, the Receptionist will greet all clients, vendors and visitors to the agency and connect them with the appropriate staff member or department. This position will also answer and direct all incoming calls to the appropriate staff or community resource, distribute mail among agency locations, process office supply orders, and provide clerical support on an as-needed basis among other duties.

Requirements

  • Demonstrated ability to exercise mature judgment and sound reasoning while maintaining a courteous and tactful demeanor in dealings with employees, visitors, and clients.
  • Demonstrated experience in quickly assessing situations and taking appropriate action.
  • Demonstrated ability in verbal and written communications.
  • Ability to use a computer to document work reports (Microsoft Word, Excel, navigating a web page, and database entry).
  • The ability to communicate and interact with people from culturally diverse backgrounds is required.
  • Individual should have strong communication and organizational skills, be detail oriented and able to manage multiple projects simultaneously.
  • Three to five years of related experience.
  • Individual should have prior experience working in an office setting.
  • Must be proficient in Microsoft Office.

Responsibilities

  • Welcome, greet, assist and direct clients, vendors and visitors in a professional manner. Monitors visitor access and issues passes when required.
  • Answer and direct all incoming telephone calls to the appropriate person, department or community resource. Take and relay messages accurately and in a timely manner. Maintain and distribute phone lists.
  • Address client and guest inquiries about programs, facilities and services.
  • Perform other clerical tasks as requested to support various departments such as but not limited to mailing preparation, typing, prepare and maintain files and receive and send data on the fax machine.
  • Process orders for office supplies from agency departments, stocking and distributing supplies as appropriate.
  • Each day listen to Restraining Order voicemails from clients seeking restraining orders, record information in the assigned document to share information with Restraining Order Advocates.
  • Sort and distribute incoming mail to the correct person or department daily.
  • Provide back up security assistance by screening visitors and ensuring that only authorized personnel gain access to premises. Monitoring surveillance cameras and contacting law enforcement in the case of suspicious activities, threats or security system alerts.
  • Operate and maintain office equipment such as fax machines, copiers, and phone systems. Learn to operate new office technologies as they are developed and implemented.
  • Provides administrative support to Sojourner management and other staff.
