About The Position

The Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional experience. This role involves managing the front desk operations, handling incoming calls and correspondence, assisting with administrative tasks, and ensuring the smooth flow of daily office activities.

Requirements

  • Previous experience in a receptionist or front desk role.
  • Ability to lift up to 15 pounds at times.
  • Ability to perform all essential functions of the job description.

Responsibilities

  • Greet visitors and clients warmly and direct them to the appropriate personnel or department.
  • Answer and route incoming phone calls, emails, and messages promptly and professionally.
  • Manage and maintain the reception area, ensuring it is clean, organized, and welcoming.
  • Perform general office tasks such as filing, data entry, and maintaining office supplies.
  • Handle scheduling and appointment booking for staff members or meeting rooms.
  • Assist with preparing and distributing internal and external communications.
  • Provide information and answer inquiries related to the organization’s services, policies, and procedures.
  • Coordinate with security to manage visitor access and ensure the safety of the premises.
  • Receive, sort, and distribute incoming mail and packages.
  • Prepare and send outgoing mail and packages, including courier services.
  • Maintain accurate logs of visitors, phone calls, and other relevant records.
  • Assist in managing and updating contact databases and directories.
  • Support the organization of company events, meetings, and conferences.
  • Assist with setting up meeting rooms and providing refreshments as needed.
  • Address and resolve any issues or complaints from visitors or clients in a professional and courteous manner.
  • Provide a high level of customer service and support to ensure a positive experience for all guests.
  • Assist other departments with various administrative tasks as needed.
  • Handle confidential information with discretion and integrity.
  • Maintain satisfactory attendance.
  • Perform other related duties as assigned.
