About The Position

The Receptionist serves as the first point of contact for visitors and callers, providing professional customer service while supporting daily office operations. This role is responsible for managing front desk activities, handling communications, and performing general administrative and clerical duties.

Requirements

  • Proficiency in Microsoft Office applications.
  • Strong verbal and written communication skills.
  • Ability to read, interpret, and follow written and verbal instructions.
  • Strong customer service skills, including handling difficult or emotional situations professionally.
  • Effective problem-solving and analytical skills.
  • Ability to perform basic mathematical calculations (percentages, proportions, etc.).
  • Strong organizational skills with attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Demonstrates professionalism, tact, and composure under pressure.
  • 1–2 years of related administrative or receptionist experience.

Responsibilities

  • Greet and welcome visitors; determine the nature of their visit and notify appropriate personnel.
  • Answer and route incoming calls using a multi-line phone system; take messages or direct calls to voicemail as needed.
  • Retrieve and distribute voicemail messages to appropriate staff.
  • Provide general information, including office directions and organizational details.
  • Monitor visitor access and issue passes when required.
  • Maintain and update appointment calendars.
  • Prepare travel vouchers and process payments for services and products.
  • Receive, sort, and distribute incoming mail, packages, and publications.
  • Operate and maintain office equipment including fax machines; send, receive, and route faxes.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents as needed.
  • Order, receive, and maintain office supplies.
  • Perform general clerical duties such as filing, photocopying, and collating.
  • Assist with additional administrative tasks as assigned.
  • Regularly required to sit, talk, and hear.
  • Must be able to lift and/or move up to 10 pounds.
  • Specific vision abilities include close vision and the ability to adjust focus.
