About The Position

Under the general direction of the Property Manager, the Receptionist answers the telephone in a courteous manner and directs calls to the appropriate destination; records accurate and complete messages when necessary; receives and receipts deliveries and ensures packages reach their destination; greets and visitors; provides general information about The Salvation Army's operations and services. He/she processes incoming and outgoing mail, UPS, and FedEx, etc., and maintains the mailroom in an orderly fashion. The incumbent provides support to the property department to include processing MVR requests, notifying requesters of results and responding to the annual MVR update; ordering general office supplies for the building, ensuring purchasing department is identified and invoices are reconciled in a timely manner.

Requirements

  • High school diploma or G. E. D. required and two years of progressively responsible experience working in similar role, or;
  • Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Responsibilities

  • Maintains the neatness and attractiveness of the reception area.
  • Monitor building control access devices to ensure visitors are identified and enter the building in a timely manner.
  • Receives, greets, and announces visitors in a courteous and tactful manner; checks-in all visitors; provides a visitor's badge to visitors; provides key fobs to visiting officers; notify proper individuals when visitors have arrived.
  • Answers the telephone and transfers calls to the appropriate destination; responds to callers’ questions and provides accurate information.
  • Records accurate and complete messages; ensures the timely and accurate distribution of messages through telephone and/or E-mail.
  • Receive and direct the delivery of donations, packages, express mail, and other items to proper individuals; log in all packages delivered to the mailroom and ensure their delivery to the proper individual or department.
  • Receives and logs all incoming and outgoing mail, UPS and Federal Express packages; logs and distributes incoming faxes.
  • Batches bulletins to all units each evening.
  • Order all supplies for the necessary operation of the mailroom.
  • Ensure mail machines are loaded with adequate postage for continual mail processing.
  • Processes all incoming and outgoing mail daily in accordance with established timeline and policy.
  • Keeps the mailroom in an orderly condition.
  • Distribute all faxes sent to the main fax number.
  • Report any problems or concerns with mailroom operations to the supervisor in a timely manner for prompt resolution
  • Routinely process MVR requests for DHQ and Corps new hires and volunteers.
  • Notify requestor on the status of the screening.
  • Maintain a master spreadsheet of active drivers in the division; periodically add and remove drivers to maintain its accuracy and to prepare for the annual report.
  • Review, prepare and submit the Annual Update in a timely and accurate manner.
