About The Position

Responsible for managing the front desk and reception area by greeting and assisting visitors, directing all inquiries, and handling all incoming calls. Provide general administrative and operational support to ensure an organized, professional, and welcoming environment.

Requirements

  • High school diploma/GED or equivalent work experience.
  • 1 to 3 years professional office experience.
  • Previous multi-line phone service.
  • Familiarity with basic office software.
  • Dedication to the job.
  • Punctuality is a must.

Responsibilities

  • Welcome and assist all visitors, ensuring proper sign-in procedures are followed.
  • Answer, screen, and direct incoming calls in a courteous and professional manner.
  • Monitor and manage employee mailboxes; notify appropriate personnel when mail is ready for pickup.
  • Efficiently process all incoming and outgoing correspondence, including mail and packaged.
  • Receive and verify all deliveries (UPS, USPS, FedEx, etc.); promptly notify recipients upon arrival.
  • Maintain a clean, organized and professional reception area with all necessary materials available.
  • Coordinate daily with the Director of Operations to address any specific requests or tasks.
  • Distribute the cafeteria’s daily special announcements to staff.
  • Manage golf cart sign-in and sign-out for NOV employees; ensure all keys are returned daily.
  • Submit maintenance requests in CMMS for any golf cart or facility related issues.
  • Communicate with the Maintenance Department regarding facility repairs and follow up on work orders.
  • Provide administrative and project support to various departments as needed.
  • Inspect and organize Conference Room 109 daily, ensuring it is prepared before and after scheduled events.
  • Coordinate and order on-call schedules each Thursday.
  • Coordinate and order catering for meetings as requested.
  • Draft and distribute internal communications for HR, Quality, Maintenance, and HSE departments.
  • Send event-related email announcements upon approval by the Director.
  • Inspect the first-floor coffee area daily to ensure it remains clean, stocked and operational; submit service requests to Parks Coffee for any equipment issues.
  • Adhere to all NOV Company and HSE (Health, Safety, and Environment) policies and procedures.
  • Scheduling conference rooms.
  • Ordering lunches for meetings and conferences.
