Position Overview The receptionist serves as the first point of contact for our organization, providing administrative support and ensuring efficient front desk operations. This highly visible, high‑trust role is responsible for delivering a welcoming and professional experience for visitors, colleagues, and leaders while ensuring seamless front‑desk and office operations. Beyond traditional reception responsibilities, this role owns key services—including conference room coordination, executive meeting support, office services, and vendor coordination—and plays a key role in the scheduling and ongoing operational support of the Surgical Center for Excellence. This position is ideal for a proactive, service‑oriented professional who thrives on ownership, anticipates needs, and takes pride in creating exceptional workplace experience.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • Prior experience in a receptionist, front desk, office coordinator, or similar role
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to manage multiple priorities
  • Professional presence, discretion, and comfort handling sensitive information

Responsibilities

  • Workplace Experience & Front Desk Operations Serve as the first point of contact for all visitors
  • Answer, screen, and direct incoming phone calls
  • Help visitors and colleagues navigate the office environment
  • Maintain an organized reception area and ensure common areas and meeting spaces are ready for leaders, colleagues and visitors.
  • Executive & Meeting Support Schedule and coordinate meetings, appointments, and conference room bookings
  • Provide meeting logistics support, including room readiness, catering coordination, and day‑of support
  • Assist with administrative and coordination tasks for on‑site executives and visiting leaders
  • Partner closely with executive assistants and internal stakeholders to ensure seamless meeting experiences
  • Office Services & Operations Oversee incoming and outgoing mail, ensuring timely and accurate distribution
  • Monitor office and kitchen supplies; place orders and coordinate vendors as needed
  • Support office services such as catering, facilities requests, and general workplace needs
  • Maintain security procedures at the reception desk, including visitor logs and badge issuance
  • Identify opportunities to improve processes across office operations
  • Surgical Center for Excellence Support Own scheduling, calendar coordination, and room logistics for the Surgical Center for Excellence
  • Support the setup, maintenance, and ongoing coordination of the center as it becomes operational
  • Establish clear processes and communication routines to ensure smooth and reliable operations
