About The Position

AES Drilling Fluids is seeking a corporate Receptionist to be the “ambassador of first impressions” for our West Houston office. This position is 100% onsite and requires exceptional customer service and professionalism, whether answering busy phones or dealing with guests. The Receptionist reports to the Human Resources Manager, and under limited supervision is also responsible for operating a multi-line telephone system and for completing a variety of administrative duties to support staff, when and as needed. Requirements

  • Minimum of Two (2) years experience in handling multi-line telephone system is essential.
  • Ability to pass a drug screen and background check.
  • Ability to work occasional overtime hours.

Nice To Haves

  • Previous customer service or receptionist work experience in a corporate setting is preferred.
  • Bilingual language abilities (English/Spanish) are a plus.
  • Proficient in Microsoft Office and Outlook and internet research skills.

Responsibilities

  • Answer all incoming calls in an efficient and professional manner, directing calls to the appropriate department or employee.
  • Welcome all customers in a friendly, professional and hospitable manner, determines nature of business, and announces visitors to appropriate personnel.
  • Provide routine information about AES to callers and visitors, and assist with address, direction, or other general company information.
  • Review and relay answering service messages to appropriate Company personnel.
  • Maintain the visitor reception to ensure it is always neat and professional.
  • Monitor visitor access and issues passes when required.
  • Accept, sign for and announce packages, as they arrive.
  • Assist AES employees with reservations of meetings and arranges for booking of AES conference rooms.
  • Prepare memorandums, correspondence and other documents, and performs other clerical duties, when and as needed.
  • Circulates an on-call schedule every Friday.
  • Sort and route incoming mail and arrange for courier service and mail/Fed Ex/other shipments, when and as needed.
  • Handles correspondence with AES’s building management as requested.
  • Review, reconcile and process UPS invoices for approval.
  • Assist with restocking items and cleaning employee break room when needed.
  • Acts as a backup to the Executive Administrative Assistant when and as needed.
  • Performs all other duties as assigned by the Divisional Vice President & General Manager or requested by AES top management.
