About The Position

The Receptionist/Switchboard position focuses on serving and enhancing the experience for all visitors, including customers, schools, applicants, vendors, and others. As the initial point of contact, the position requires careful attention and consideration, coupled with qualities such as empathy, patience, and understanding to deliver exceptional customer service. The emphasis is on ensuring that interactions with customers, vendors, and visitors are handled with care, reflecting a commitment to providing a positive and supportive experience. In addition to serving as the initial point of contact, this role encompasses other responsibilities such as providing administrative support across the business. The focus is on ensuring accuracy and timeliness in carrying out those administrative tasks. The commitment to approaching each day with a sense of ownership is also a fundamental aspect of this role. This mindset reinforces the responsibility required to contribute positively to the team and organization.

Requirements

  • Required minimum High School Diploma or equivalent
  • Excellent verbal and written communication skills
  • Proficient understanding and experience in web searches, Microsoft – Outlook, Word, Excel, and PowerPoint.
  • Demonstrate proficient time management and organizational abilities.
  • Ability to solve problems, willingness to to bring solutions forward.
  • Capability to establish and prioritize tasks.
  • Strong learning agility and a keen desire for internal and external growth.
  • Must be authorized to work anywhere in the U.S. without sponsorship
  • Must be able to pass a 90 day head hair drug test today.

Nice To Haves

  • Preferred three [3] year minimum experience in a customer service role.
  • Preferred one [1] year minimum experience in a reception/switchboard operator role.

Responsibilities

  • Welcoming and directing all visitors, including customers, schools, applicants, vendors, and others.
  • Providing exceptional customer service to both internal and external customers by promptly and professionally addressing inquiries through email, phone or in-person interactions.
  • Overseeing all visitor protocol procedures and ensuring adherence to each process.
  • Providing administrative support to various departments as requested.
  • Managing the process of inventory and ordering, the role involves overseeing office supplies and specialty items like coffee and tea, as well as coordinating food orders for meetings. Additionally, the responsibility extends to keeping the mailrooms, including cabinets and drawers, organized, clean, and well-stocked with necessary items.
  • Handling the receiving and distribution of incoming mail, including tasks such as opening, sorting, date stamping, and delivering mail to the designated employee(s). Additionally, manage outgoing mail processing and provide support to the Corporate Office on large mailings. Assumes responsibility of maintaining the ongoing supply postage and handling the necessary supplies for the mail machine.
