Requirements

  • High School Diploma or equivalent required.
  • Must possess a reliable method of communication.
  • Demonstrates clear and legible writing skills.
  • Strong attention to detail and organizational abilities.
  • Capable of handling confidential information securely.
  • Maintains a positive attitude in the workplace and shows initiative.

Nice To Haves

  • 1-2 years of receptionist and/or office setting experience preferred.
  • Proficient in a wide range of software including Advanced Microsoft Office applications (Outlook, Word, Excel, PowerPoint, OneNote, SharePoint), Adobe Acrobat, and various video/web conferencing platforms (Zoom, Teams, GoToMeeting).

Responsibilities

  • Answer the multi-line phone system, directing calls appropriately to provide excellent customer service.
  • Welcome office visitors and ensure a pleasant sign-in experience while maintaining confidentiality.
  • Manage office supply stock and ensure the reception area is always organized.
  • Prepare meeting rooms, coordinating refreshments and technology readiness for successful meetings.
  • Assist with filing, billing functions, and distribution of mail and parcels as needed.
  • Collaborate with the Administrative Team to coordinate coverage of duties when necessary.
