Learn more at www.bkv.com Job Summary The Receptionist is responsible for carrying out administrative duties under the supervision of the Office Manager. This role sits at the front desk and is focused on tasked based support, such as greeting visitors, validating parking, shipping and receiving packages and mail, keeping the office organized, restocked, and running smoothly, and general administrative support. This is an hourly 5 day in-office role typically from 8 AM-5 PM Monday-Friday. There may be times when this role is required to be onsite outside of typical business hours, and overtime may be required. This role typically will not travel. As the face of BKV’s new Houston Office, the ideal candidate demonstrates integrity, accountability, and transparency; and upholds BKV standards, values, and culture. On a typical day, most of the time would be spent at the front desk, pivoting as inquiries, visitors, deliveries, and office needs unfold. The problems faced are generally routine, but this person must be able to react in a fast-paced environment. The ideal candidate wants to create a welcoming office environment, doesn’t view any problem as too big or any job as too small, and can manage time effectively.   • High School Diploma or GED certification required.

Nice To Haves

  • Preferred Background in customer service (such as hospitality and restaurant industry) a plus
  • 1-2 years of office experience a plus but not required
  • Notary certification is a plus but can provide training for the right candidate.

Responsibilities

  • Greet and sign in visitors at the front desk.
  • Keep a log of visitors.
  • Distribute, print, and collect badges for employees and visitors.
  • Validate parking for guests and manage monthly parking passes
  • Ensure order and cleanliness of office.
  • Set up and teardown conference rooms.
  • Check conference rooms before and/or after meetings to ensure they are ready for the next users.
  • Send reminders to people when necessary.
  • Collaborate with the security team for badge tracking and distribution.
  • Maintain inventory of office snacks and office supplies.
  • Restock daily (or multiple times daily) as needed.
  • Organize storage.
  • Run and unload the dishwasher.
  • Make sure all dishes get into the dishwasher and send out reminders when dishes are left in the sink or around the office.
  • Order supplies as needed.
  • Submit work order requests with the building.
  • Assist in booking conference rooms.
  • Partner with Administrative Assistant with travel support for visiting employees, including desk booking, communication of procedures, and apartment management, booking, maintenance, and policy adherence.
  • Collect and distribute incoming mail and packages for office, assist in office shipping needs.
  • Support Houston culture initiatives (birthday celebrations, team lunches, execution on clubs, etc.)
  • Organize catering as required for office events and assist other administrative team members with setup and breakdown.
  • Welcome new hires and show them key office areas and procedures.
  • Go through voicemails daily and share them with the appropriate department.
  • Maintain and manage files, records, agreements, contracts, and correspondence in both hard and digital formats.
  • Help HR Coordinator with swag distribution and shipping.
  • Help IT with equipment distribution and shipping.
  • Coordinate with Administrative Assistant(s) for front office coverage during instances of PTO, lunch, and high volume of visitors in the office.
  • Proactively check meeting rooms to keep track of meetings, guests, and conference room usage.
  • Flexibility to adjust start/end times for earlier or later events.
