Responsibilities

  • Meeting and greeting tenants, clients, and visitors
  • Answering phone calls and directing callers to appropriate extensions, taking accurate messages
  • Screening incoming calls and handling other communications, following up as necessary
  • Making calls and scheduling appointments for the CEO & President
  • Distributing incoming mail and packages, checking the Mailroom mailbox daily
  • Performing general clerical duties including filing and data entry
  • Providing administrative support to the CEO & EVP and the team when requested
  • Opening/sorting incoming mail, monitoring incoming faxes, and distributing outgoing mail including USPS, FedEx, UPS & certified mailings
  • Creating memos, letters, and general correspondence when requested
  • Screening emails from general receptionist & COI email and prioritizing accordingly
  • Tracking, logging, and following up on Certificates of Insurance with tenants, vendors, and insurance brokers
  • Assisting in monitoring the status of IT requests and Mitel Phones
  • Overseeing the office calendar, staying up to date on meetings, and sending out meeting reminders as needed
  • Maintaining cleanliness and orderliness of the office
  • Performing morning/afternoon reviews of all common areas in the office and ensuring cleanliness and aesthetic presentation
  • Restocking items and ordering kitchen and office supplies as needed
  • Maintaining printer supplies and operation of office equipment and printers
  • Assisting the Accounting Department with filing and timecards
  • Assisting tenants and property managers with Building Engines requests
  • Prioritizing and managing daily to-do lists for timely follow-up
  • Following up on tenant complaints to ensure resolution
  • Assisting in the scheduling of all conference rooms
  • Coordinating the setup of new employees including computer, phone, and supplies
  • Acting as a source for corporate office information and needs
  • Watering plants
  • Performing other related duties, special projects, and assignments as necessary.
