About The Position

The position involves greeting patients and visitors, managing phone inquiries, and ensuring smooth check-in processes for scheduled appointments. The role requires the use of multiple software systems for insurance verifications and patient registration, as well as handling co-pays and patient balances. The individual will serve as a liaison between patients and the billing department, ensuring excellent customer service and adherence to policies and procedures. The position also includes responsibilities such as scanning and filing documents, assisting patients with paperwork, and providing information about services. The candidate will monitor daily schedules, manage patient communications, and collaborate with various departments to ensure efficient operations.

Requirements

Responsibilities

  • Greets patients and visitors in person or on telephone; answers and/or refers patient inquiries.
  • Takes messages and promptly has patients check in for scheduled appointments according to policies and procedures.
  • Answers incoming phone calls, schedules appointments, or directs callers to the appropriate staff member or department.
  • Prepares charts for upcoming appointments using multiple software systems for insurance verifications.
  • Registers new patients, obtaining vital personal, financial, and other required information.
  • Collects co-pays, patient balances, or fees from patients eligible for the sliding fee scale.
  • Serves as liaison between patient and billing department for inquiries and concerns.
  • Voids encounters as needed to avoid unnecessary charges.
  • Delivers excellent customer service by putting the patient first and meeting their needs.
  • Participates in staff meetings and works toward accomplishing department goals.
  • Scans and files high volumes of incoming documents into the patients' electronic medical record.
  • Assists patients with completing required paperwork.
  • Provides information about discounted services and determines patient eligibility.
  • Checks in patients for all departments and notifies team members when a patient has arrived.
  • Monitors daily templates and schedules, verifying upcoming appointments.
  • Routes triage calls to appropriate RN.
  • Checks EHR Inbox daily for incoming clinical tasks and responds in a timely manner.
  • Helps enroll patients through the Patient Portal.
  • Reports any patient or workflow concerns to supervisor as necessary.
  • Collaborates with the Medical Record Department regarding patient records.
  • Works with the Referral Department to manage patient referrals.
  • Maintains the tidiness of the reception area/waiting room.
  • Adheres to HIPAA confidential practices for patient information.
  • Monitors and maintains inventory of supplies and forms for registration duties.
  • Performs other duties as assigned.
