About the position

The Office Administrator plays a crucial role in ensuring the smooth and efficient operation of the office. The individual will also provide administrative support to Executive Assistants and Human Resources.

Responsibilities

  • Greet and welcome guests in a manner that embraces and fosters VB's Core Values of Integrity, Communications, Inclusivity, Accountability and Flexibility
  • Manage all office administrative tasks such as handling external calls and inquiries and overseeing incoming and outgoing mail and packages
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Assist with the ordering and maintenance of office supplies and breakroom items
  • Support Executive Assistants with various administrative tasks
  • Assist with facility maintenance and proactively work with various vendors
  • Coordinate and execute company lunches, employee events and activities
  • Embrace additional responsibilities to support the company's core functions and employee engagement efforts

Requirements

  • Associate or bachelor's degree preferred in business or related field
  • Minimum two years of office/administrative experience required
  • Required to be a highly competent and user of all MS Office suite products
  • Required to have excellent written and oral communication skills
  • Proven customer centric mindset
  • Proven ability to work in a fast-paced environment while managing competing priorities
  • Strong interpersonal skills and the ability to build and sustain strong relationships with internal and external customers
  • Strong time management, prioritization skills and the ability to work independently under firm deadlines
  • Experienced in leading a variety of activities and confidential matters with discretion
