About the position

The position involves greeting patients and registering them with accurate demographic information, scheduling future appointments, and assisting the Nurse Practitioner with office duties. The role serves as a liaison with the professional billing service and is responsible for the efficient administration of office operations, ensuring that all duties are performed in alignment with the objectives of Winona Family Practice.

Responsibilities

  • Provides excellent service to customers following Winona Family Practice core values and customer service standards.
  • Maintains confidentiality according to HIPAA guidelines at all times.
  • Answers telephones, triages messages, and schedules patient appointments/referrals.
  • Performs patient 'check in' process including registering new patients and updating demographic and insurance information.
  • Performs patient 'check out' process including collection of payments.
  • Assists patients and responds to requests for assistance and information in a professional manner.
  • Creates, updates, and maintains medical records per practice policies.
  • Assists with end of day/month reconciliation and financials for the practice.
  • Contacts responsible party of non-insured patients to evaluate financial status.
  • Audits patient accounts for proper charges and uniform billing revenue coding.
  • Analyzes requests for review or reconsideration when payment is inadequate.
  • Follows up on internal/external inquiries and initiates adjustment claims when applicable.
  • Collaborates with administrator and billing department for account resolutions.
  • Revises and maintains financial records mandated by facility policy.
  • Prepares account information for litigation and provides documentation for claims management.
  • Assists with specialized insurance forms.
  • Creates a safe work environment for patients, staff, and customers.
  • Reports any safety concerns or near misses.
  • Serves as backup for other office staff as needed.
  • Expands and maintains professional knowledge/skills through continuing education.
  • Responds to environmental safety factors and provides team support.
  • Attends required meetings and serves on committees as requested.
  • Participates in performance improvement activities.
  • Interacts with patients and team members with a focus on service excellence.
  • Projects a courteous and professional demeanor.
  • Maintains clean and orderly work area.
  • Performs other duties as assigned.

Requirements

  • High school diploma or equivalency required.
  • One year office experience including phones and typing required.
  • Medical office setting experience preferred.
  • Preferred knowledge in ICD-9 and CPT coding.
  • Skills in mathematical calculations and understanding of financial analysis terms.
  • Knowledge of healthcare administration and medical terminology is desirable.
  • Strong organizational skills.
  • Proficiency in computer skills and office equipment operations.
