Job Summary: We are seeking a friendly, professional, and highly organized Receptionist to join our New York City office. In this role, you'll manage our front desk and be the first point of contact for clients, visitors, and staff. The ideal candidate will have excellent communication skills, a welcoming attitude, and the ability to multitask efficiently in a fast-paced environment. This is a hybrid position requiring 3-4 days per week in office.

Requirements

  • High school diploma or equivalent; additional certifications in Office Administration are a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to handle stressful situations calmly and effectively.

Responsibilities

  • Greet and welcome visitors in a warm and courteous manner.
  • Assist with onboarding new hires, including completion and verification of I-9 documentation.
  • Manage front desk operations, including receiving mail, packages, and deliveries.
  • Maintain a presentable reception area.
  • Provide basic and accurate information to visitors and clients.
  • Schedule and confirm appointments.
  • Add visitors to building visitor system.
  • Reserve conference rooms and workspace for visitors.
  • Assist with administrative tasks such as data entry, filing, photocopying, and scanning.
  • Coordinate with other departments to ensure smooth office operations.
  • Monitor and order office supplies.
  • Process office invoices for payment.
  • Handle inquiries via email or in-person promptly and professionally.
