About The Position

The Medical Receptionist is responsible for providing front-line administrative and customer service support to ensure efficient clinic operations and positive patient experience. This role includes greeting and registering patients, verifying and updating demographic and insurance information, scheduling appointments, managing phone communications, maintaining accurate electronic health records, collecting copayments, and coordinating patient flow. The Medical Receptionist serves as a key liaison between patients, providers, and clinical staff, ensuring clear communication and timely service. Additional duties include managing incoming faxes and mail, scanning and indexing documents into the electronic health record (EHR), supporting referral coordination, and maintaining confidentiality in compliance with HIPAA regulations. The ideal candidate MUST be able to work at the organization’s multiple locations including Garden City, MI and Wayne, MI.

Requirements

  • Strong customer service and communication skills.
  • Ability to multitask and manage a high-volume workload.
  • Proficiency with EMR systems and data entry.
  • Reliable, punctual, and able to work both independently and as part of a team.
  • Valid driver’s license and reliable transportation required.
  • High School Diploma
  • One (1) year experience in a healthcare environment
  • One (1) year experience providing office reception services
  • MUST be able to work at the organization’s multiple locations including Garden City, MI and Wayne, MI.

  • Knowledge of medical terminology preferred.

Responsibilities

  • Greet patients and visitors in person and by phone, answering or directing inquiries appropriately.
  • Schedule appointments efficiently to optimize provider time and treatment room utilization.
  • Monitor daily schedules, notify providers of patient arrivals, and communicate delays as needed.
  • Call patients to confirm appointments and assist with scheduling off-site testing services.
  • Distribute and collect intake forms, new patient paperwork, and required office policies.
  • Maintain accurate patient records, including demographic, insurance, and financial information.
  • Collect payments, post charges, and assist with insurance claims and third-party billing.
  • Maintain office inventory, order supplies, and coordinate equipment maintenance or repairs.
  • Notify clinical staff of important deliveries, including vaccines and medical supplies.
  • Respond appropriately to urgent situations while maintaining a calm and professional demeanor.
  • Protect patient confidentiality in accordance with HIPAA and organizational policies.
  • Travel between clinic sites and attend required trainings as needed.
  • Support additional administrative duties as assigned.
