About The Position

The Receptionist Intake Coordinator at Opportunities for Williamson and Burnet Counties (OWBC) is responsible for managing administrative and coordination functions within the Community Service Programs. This role serves as the first point of contact for clients, ensuring their needs are met through various communication channels. The position requires attention to detail, excellent customer service skills, and the ability to work under moderate supervision while supporting the Program Director.

Requirements

  • High School diploma or GED required.
  • Customer service experience with face-to-face, written, and verbal communication.
  • One year of experience working in an office environment preferred.
  • One year of social services or related experience preferred.
  • One year of experience with Microsoft Office 365, Outlook, and SharePoint required; Adobe DC experience preferred.
  • Bilingual in English/Spanish required.

  • Familiarity with community service programs.

Responsibilities

  • Ensure client needs are addressed via phone, walk-in, email, mail, fax, and online.
  • Deliver program requirements and information to clients, answer frequently asked questions, and provide referrals.
  • Co-manage Outlook email inboxes for Community Services programs.
  • Address and coordinate Community Services Open Applications daily.
  • Prepare, track, and review client applications for missing documents and alert clients of their application status.
  • Manage vendor contracts, including setting up new vendors and verifying vendor information.
  • Provide general office and clerical support to the program and team members.
  • Support the Program Director as needed.
  • Obtain knowledge of rules, regulations, and program requirements of CEAP and CSBG programs.
  • Maintain knowledge of all services provided by the agency and provide referrals as needed.
  • Attend one-on-one meetings with the Program Director.
  • Adhere to OWBC ethics expectations and cooperate effectively with others.
