About The Position

The Receptionist at the Headquarters will perform a wide variety of clerical support duties under the general supervision of the Executive Assistant. This role includes in-person and telephone reception, daily use of office machines such as copiers and facsimiles, and performing related work as required. The position is full-time and located in San Bernardino, CA.

Requirements

  • High school diploma or equivalent.
  • Bilingual preferred.
  • Ability to follow oral and written direction.
  • Ability to establish and maintain effective working relationships.
  • Full use of an automobile and possession of a valid California driver's license.
  • Must maintain a safe driving record.

Responsibilities

  • Responsible for all reception duties and effectively deal with anxious or irate persons.
  • Promptly and courteously answer incoming calls for agency staff and direct people or transfer calls to the requested office or person.
  • Check in appointments with Spectrasoft and Envoy, print badges for visitors, and inform staff of their appointments.
  • Assist visitors without appointments and direct them to the appropriate person or department.
  • Notify various units of their scheduled appointments.
  • Take or relay messages involving consumers and staff, and keep track of phone calls and voice messages.
  • Update or verify employee lists with accurate names, managers, and extensions.
  • Coordinate long distance calls for employees.
  • Responsible for audio set-up in the waiting room.
  • Provide coverage for the Riverside office as needed.
  • Receive and give directions or facts in a foreign language as able.
  • Announce in-house meetings via intercom.
  • Assist with incoming mail and deliveries.
  • Order office supplies when needed.
  • Prepare reports as needed or assigned.
  • Drive vehicle/travel to other offices/locations for pick-up or delivery of documents.
  • Work cooperatively and effectively with others as a team member.
  • Use office equipment appropriately and report the need for repairs.
  • Maintain a neat and orderly work area and observe all safety rules.
  • Work remotely when required and maintain productivity.
  • Handle change well and be flexible with new priorities.
  • Maintain good attendance and punctuality.
  • Communicate effectively with verbal and written skills.
  • Keep manager informed of pending work and problems encountered.
  • Utilize agency's IT systems while maintaining security.
  • Attend training sessions as required.
  • Comply with agency's Personnel Policies and Procedures.
  • Assure that consumers' rights and dignity are maintained.
