About The Position

The position involves providing general administrative and clerical support, greeting and welcoming patients, clients, and other visitors with a friendly and positive demeanor. Responsibilities include answering telephone calls, taking messages or forwarding calls, checking visitors in, directing or escorting them to specific destinations, and informing other employees of visitors’ arrivals and cancellations. The role also requires maintaining a visitor sign-in log, handling incoming and outgoing mail, scheduling appointments, maintaining meeting room bookings, and tidying the reception area. Additionally, the employee must agree not to disclose resident’s protected health information and promptly report suspected or known violations of such disclosure to the Administrator, maintaining the confidentiality of all resident care information. The position has no supervisory responsibilities.

Requirements

  • Must possess, as a minimum, a high school diploma or GED.
  • Previous administrative or receptionist experience preferred.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers and employees.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Basic knowledge of Microsoft Suite products, clerical functions, and multiline phone system.
