The role of receptionist is an integral part of our team serving as the true connection between our clients and the entire team. Position Overview The Receptionist will manage front desk operations as our Director of First Impressions, greet clients, handle phones and scheduling, and assist with administrative tasks that ensure the office runs smoothly. The ideal candidate is organized, polished, and comfortable interacting with clients in a confidential, service-oriented environment.

Requirements

  • Excellent communication skills (verbal, written and listening)
  • Strong organizational abilities and attention to detail
  • Professional appearance and client-service mindset
  • General tech stack proficiency
  • Ability to handle confidential information with discretion
  • Ability to prioritize multiple tasks and anticipate potential problems
  • 1+ year of receptionist or administrative experience (financial services experience a plus)

  • Bachelor’s degree preferred but not required

Responsibilities

  • Greet clients and visitors with a professional, friendly demeanor
  • Answer and direct incoming calls; manage voicemail and messages
  • Schedule client meetings and maintain appointment calendars
  • Prepare client intake forms and ensure accurate, confidential handling of documents
  • Support advisors with administrative tasks such as scanning, filing, and correspondence
  • Maintain the reception area and conference rooms to ensure they are clean and orderly
  • Coordinate incoming/outgoing mail and package deliveries
  • Assist with basic office management tasks (supplies, vendor coordination, etc.)
  • Uphold firm confidentiality and compliance standards at all times
  • Client event planning
