About The Position

High Octane Classics is a premier dealership specializing in high-quality classic, muscle and exotic vehicles. We pride ourselves on a customer-first buying experience, transparent vehicle presentation and nationwide reach. We’re looking for someone who will reflect our commitment to excellence at the front desk and in our business development center (BDC). This dual-role position combines front-desk responsibilities with BDC (business development center) support. You’ll be the first point of contact for visitors and callers, manage administrative tasks, and assist with our lead-generation and customer outreach efforts. Your organizational skills and comfort with data (especially in Excel) will help us maintain strong communication and support our sales team.

Requirements

  • High school diploma or equivalent; some college preferred.
  • Reception or administrative experience preferred; BDC, call-centre or sales support experience a plus.
  • Proficiency in Microsoft Excel: comfortable creating, updating and maintaining spreadsheets, using formulas, sorting/filtering data.
  • Strong verbal and written communication skills; friendly, professional demeanor with a client-facing role.
  • Ability to handle multiple tasks, prioritize, and work in a fast-paced environment.
  • Customer-service oriented, with enthusiasm for high-quality vehicles and the automotive business.
  • Detail-oriented and reliable: accurately document information, follow through on tasks, maintain organized records.
  • Willingness to learn dealership systems, lead-management software and automotive sales processes.

Nice To Haves

  • Interest in cars, especially classic or performance vehicles, is a plus (helps with understanding our client base and inventory).
  • Comfort using CRM tools, appointment scheduling systems, and handling inbound/outbound call flows.
  • Familiarity with basic data-reporting or dashboard creation in Excel (optional but beneficial).

Responsibilities

  • Greet visitors, answer incoming calls, direct inquiries, and provide exceptional customer service at our front desk.
  • Manage the showroom reception area: welcome clients, schedule appointments, coordinate visitor logistics.
  • Handle inbound leads (phone, web, walk-ins), log them into our CRM / lead-tracking system, and assist with follow-up tasks.
  • Assist with outbound outreach: contacting leads, scheduling callbacks, supporting sales and marketing efforts.
  • Maintain and update Excel spreadsheets: tracking leads, appointment schedules, follow-ups, status updates, reporting.
  • Work closely with the sales team to ensure that all lead information is accurate, that follow-ups happen in a timely manner, and that data is entered consistently.
  • Handle general administrative duties: data entry, filing, organizing records, answering emails, scanning documents, coordinating with other departments as needed.
