About The Position

The Receiving Clerk is responsible for ensuring the accuracy, integrity, and proper documentation of all incoming materials at Urban Farmer. This role supports food safety, inventory accuracy, and efficient warehouse operations by receiving, inspecting, labeling, and recording raw materials and supplies. The Receiving Clerk works closely with the Supply Chain, Warehouse, and Quality teams to ensure materials are received in compliance with company standards, food safety requirements, and inventory controls.

Requirements

  • Minimum of 3 years of experience in a fast-paced warehouse, receiving, or inventory control role; food manufacturing or cold storage experience preferred.
  • Working knowledge of receiving procedures, inventory control, warehouse operations, and inventory management systems or ERP platforms.
  • Ability to accurately read, interpret, and follow work instructions, SOPs, and safety guidelines.
  • Demonstrated ability to accurately document receiving transactions, lot numbers, allergen information, and inventory movements with strong attention to detail.
  • Familiarity with GMP, SQF, HACCP, and basic food safety principles, including allergen handling and segregation.
  • Ability to prioritize tasks and work efficiently in a high-volume, time-sensitive environment, both independently and as part of a team.
  • Compliance with safety requirements, including PPE such as safety footwear, hearing protection, and safety glasses.
  • Capability to work in variable temperatures and handle physical tasks like lifting up to 50 lbs.
  • Standing or walking for extended periods and maneuvering around equipment.

  • Prior exposure to audits, traceability exercises, cycle counts, or inventory reconciliation preferred.

Responsibilities

  • Receive all inbound raw materials, packaging, ingredients, and supplies in accordance with Urban Farmer receiving procedures and food safety standards.
  • Verify incoming shipments against purchase orders, bills of lading, and shipping documentation to confirm accuracy of product, quantity, condition, and specifications.
  • Inspect materials upon receipt for damage, contamination, temperature deviations (when applicable), labeling accuracy, and overall product integrity.
  • Accurately enter all receiving transactions into inventory management system, including item numbers, lot codes, expiration dates, quantities, storage locations, and receipt dates.
  • Assign, apply, and verify proper lot identification, item labeling, and allergen labeling to all raw materials and ingredients in compliance with regulatory and company requirements.
  • Identify, document, and escalate any receiving discrepancies, shortages, damaged goods, or non-conforming materials to Supply Chain, Warehouse Leadership, and Quality for resolution.
  • Ensure proper segregation, handling, and storage of allergen-containing materials to prevent cross-contact and support food safety controls.
  • Coordinate with warehouse personnel, forklift operators, and supervisors to safely unload trucks and stage materials for proper storage or production use.
  • Ensure materials are stored in designated warehouse locations following FIFO/FEFO, temperature requirements, and inventory control standards.
  • Maintain accurate and organized receiving documentation to support traceability, audits, recalls, and inventory reconciliation.
  • Monitor inbound shipment schedules and communicate with Supply Chain and Warehouse teams to support efficient dock scheduling and space utilization.
  • Maintain a clean, organized, and safe receiving area in compliance with GMP, OSHA, and plant safety requirements.
  • Participate in cycle counts, physical inventories, and reconciliation activities as assigned.
  • Support Quality and Food Safety audits by providing documentation, traceability records, and responding to auditor inquiries as needed.
  • Comply with all Good Manufacturing Practices (GMPs), Food Safety, Quality, and Plant Safety policies while working in the facility.
  • Proactively report any food safety, quality, inventory accuracy, or safety concerns to Supervisors and Quality representatives immediately.
  • Work collaboratively with cross-functional teams including Supply Chain, Warehouse, Quality, and Operations to support production schedules and business needs.
  • Perform other duties and responsibilities as assigned by management to support operational efficiency and continuous improvement.
