Key Responsibilities: Provide seamless day-to-day office management to ensure the brokerage operates efficiently. Manage the full contract-to-close process for multiple real estate transactions with precision and care. Create, implement, and continuously improve an Operations Manual documenting all company systems, procedures, and standards. Build, implement, and manage systems for lead generation, client communications, database management, and back-office support . Act as the primary liaison between clients, agents, vendors, and service providers to ensure a white-glove experience. Participate actively in company-provided training and professional development sessions to enhance your skills and career growth. Prepare and distribute weekly and monthly client update reports (for buyers and sellers) to maintain transparent communication. Create and maintain a lead follow-up system , ensuring that every potential client receives timely, personalized attention. Keep the Broker informed of important issues, challenges, and opportunities to maintain smooth operations. Deliver concierge-level service to clients, providing proactive support throughout the buying, selling, or leasing process. Coordinate with preferred vendors, including professional photographers, marketing partners, contractors, and inspectors. Manage critical dates related to property sales, inputting them into shared calendars and sending timely reminders to all parties. Serve as a secondary liaison with title companies to assist in gathering necessary documents and facilitating closings. Coordinate the installation and removal of "For Sale" signs and marketing materials at appropriate times. Schedule and oversee property photography and marketing materials for new listings. Take ownership of administrative workflows, continuously seeking ways to streamline processes, improve efficiency, and free up the Broker’s time . Contribute ideas and initiatives to improve the client experience, marketing efforts, and internal operations . Assist with light social media support, listing marketing, and client communication projects as needed. Assist with light event planning for client appreciation events and company celebrations. Help brainstorm marketing content ideas (posts, mailers, newsletters) to promote listings and brand presence. Research and recommend new tools, technologies, or vendors to improve business operations.
