Requirements

  • 2+ years work experience within a law firm or professional services environment is required
  • Advanced skill set using MS Word (including redlining, comparing documents, advanced formatting, and insertion of hyperlinks) as well as an ability to quickly learn and adapt to other applications
  • Intermediate to advanced level skills using MS Office Suite, including Excel and PowerPoint, in addition to strong computer aptitude to use various online platforms (including DocuSign, PDF Essentials, various ERoom platforms, DropBox, etc.)
  • Must be a problem solver, willing to work and think with independence, handle confidential information with discretion, and accept responsibility for producing work that is consistently accurate while meeting established deadlines.
  • Proficient time management skills to prioritize workload and multitask at a high level; excellent organizational skills.
  • Ability to follow and convey instructions effectively with a high degree of courtesy and tact, including the ability to independently initiate follow-up.
  • Excellent writing and grammar skills to proof and edit (using edit marks) correspondence, reports, and tables for typographical, grammar, sentence structure, and formatting errors; meticulous attention to detail is essential.
  • Ability to draft routine correspondence, perform non-complex arithmetic calculations, and organize and maintain record keeping and filing systems.
  • Proven ability to transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription.
  • Exceptional interpersonal and communication skills are necessary to convey and obtain information to various levels of internal and external clients.
  • Ability to work for more than one person and prioritize assignments accordingly.
  • Flexibility to work overtime, when needed.

Nice To Haves

  • Prior experience working within a Real Estate Finance practice group is preferred
  • Proficiency in the use of document management systems preferred

Responsibilities

  • Serving as a primary point of contact between and among attorneys, business professionals, clients, and internal stakeholders to ensure clear communication, alignment, and timely execution of client priorities
  • Providing budget oversight, resource allocation, invoice processing, and vendor management as required
  • Managing the client rate cap practice; monitoring the process from start to finish, including distribution of final rate cap documents and tracking invoice payments
  • Supporting business development and client relationship initiatives by running conflict checks and seeking waivers; and preparing engagement letters, presentations, proposals, and other client-facing materials
  • Supporting the billing process including time-entry management, data review and correction, final submission in accordance with Firm deadlines, maintenance of billing records, and research of billing disputes and discrepancies
  • Assisting with creation and maintenance of various transaction checklists, progress charts, process guides, training guidance materials, template forms, diligence management, electronic and physical closing binders, and other client or practice group organizational or review checklists and protocols
  • Managing, tracking and coordinating assigned work for practice group; creating documents and correspondence for closings and online client templates; preparing edits from handwritten notes; running extensive blackline comparisons of documents; proofreading documents for content, grammar, typos, formatting, and embedded styles
  • Scheduling appointments, coordinating travel and/or meeting arrangements and maintaining business calendars to keep timekeepers on schedule to meet Firm-wide and practice group specific deadlines
