About The Position

The Reading Room Assistant plays a crucial role in supporting the workflow of physicians and healthcare team members at Northwestern Medicine. This position is responsible for managing communication, minimizing interruptions, and ensuring efficient operations within the reading room, all while adhering to the organization's mission, vision, and values.

Requirements

  • High school diploma or GED.
  • Minimum six (6) months of experience in a clerical position dealing with the public.
  • Exceptional interpersonal skills to establish and maintain effective relationships with patients, physicians, management, staff, and other customers.
  • Demonstrated customer service skills, including appropriate judgment and independent thinking.
  • Ability to effectively handle challenging situations and balance multiple priorities.
  • Excellent verbal and written communication skills, especially in public speaking.
  • Strong computer skills, including Microsoft Office, Outlook, and database entry.
  • Ability to maintain a high degree of confidentiality and adapt to changes in the work environment.

Responsibilities

  • Assist with incoming and outgoing phone calls, and contacting support staff for any room or equipment.
  • Greet physicians, nurses, technologists, and other health care team members, directing them to the appropriate radiologist or answering their questions.
  • Answer all incoming phone calls and direct them to the correct person, often outside the reading room.
  • Take messages for the appropriate radiologist to respond between cases.
  • Make outgoing calls to contact health care providers for radiologists when needed.
  • Load outside exams brought in on CD on an available workstation.
  • Keep extra supplies on hand.
  • Communicate with other health care team members about any problems related to maintaining the efficiency of the reading room.
  • Answer the phone in a friendly and professional manner to ensure optimal delivery of customer service to patients, members, and co-workers.
  • Handle challenging situations to meet patient and organizational needs.
  • Ensure health care team members receive proper written instructions.
