About The Position

CHS has an exciting opportunity on our Enterprise Rail Transportation team for a Rail Accessorial Invoice Coordinator. In this critical role, you will support our rail operations by ensuring timely, accurate processing of accessorial charges across multiple Class I and short line carriers. Ideal candidates are detail‑oriented, customer‑focused, and skilled at building strong working relationships with both internal partners and external railroads. Success in this role requires the ability to solve problems in real time, analyze data for accuracy, and identify opportunities to improve efficiency and reduce unnecessary costs. This is a hybrid position based at our Inver Grove Heights, MN corporate office. The selected candidate will be required to work on-site at least three days per week.

Requirements

  • 2+ years of experience in Logistics, Supply Chain and/or Procurement
  • High School diploma or GED
  • Strong analytical skills with experience reviewing financial or operational data for accuracy and compliance.
  • Proficiency with Microsoft Office tools, especially Excel (pivot tables, filters, lookups, data reconciliation).
  • Effective verbal and written communication skills for working with both internal teams and external rail carriers.

Nice To Haves

  • Bachelor’s degree in business, supply chain, finance, accounting, or a related field.
  • Experience with rail billing, accessorial charges, tariff interpretation, or invoice dispute resolution.
  • Familiarity with SAP, Coupa, and JDE, as well as rail carrier billing portals (e.g., BNSF, UP, CPKC).
  • Demonstrated ability to manage high‑volume data and identify discrepancies or billing inaccuracies.
  • Strong organizational and time‑management skills with the ability to prioritize multiple tasks.
  • Proven ability to build strong working relationships across finance, operations, logistics, and external partners.
  • Experience using Power BI or similar tools for reporting or trend analysis.

Responsibilities

  • Manage the end‑to‑end processing of rail accessorial invoices across Class I and short line carriers, ensuring accuracy, completeness, and compliance with contracted terms and published tariffs.
  • Partner with internal stakeholders (finance, accounting, rail logistics, plant operations, trade teams) to resolve billing questions, validate charges, and ensure timely month‑end close support.
  • Communicate directly with railroad partners to clarify charges, obtain supporting documentation, and escalate or resolve discrepancies as needed.
  • Review, analyze, and reconcile high‑volume invoice data, identifying errors, duplicate billing, or unplanned accessorial exposure.
  • Lead the submission and tracking of invoice disputes, including documentation, root‑cause identification, and follow‑through to resolution.
  • Monitor accessorial cost trends (e.g., demurrage, constructive placement, switching, diversions, special handling) and flag variances or anomalies that may signal operational issues.
  • Utilize Excel, Power BI, and carrier billing portals to track invoice status, measure turnaround time, and provide visibility to internal partners.
  • Support development of dashboards and reports that highlight accessorial spend, trends by carrier or charge type, dispute outcomes, and savings opportunities.
  • Maintain strong working knowledge of carrier tariffs, contracts, and service rules, ensuring charges comply with published requirements.
  • Collaborate with rail operations teams to share insights on recurring issues, contributing to reduced accessorial exposure and improved on‑site railcar management.
  • Document and continuously improve standard work procedures related to invoice processing, dispute workflows, and data accuracy.
  • Promote and maintain a strong safety and compliance culture, following all CHS policies and procedures.
