Primary Purpose: The QHSE&E Support Specialist provides administrative and operational support to the Division Director, QHSE&E Engineers, and QHSE&E Specialists. This role plays a key part in ensuring effective coordination of QHSE&E programs across Division and Local teams. The support specialist manages data, documentation, reporting, communication, and scheduling activities, enabling consistent implementation of quality, health, safety, environmental, and energy initiatives throughout the organization.

Requirements

  • An Associates Degree is highly preferred.
  • Two years’ experience in an administrative support, data coordination, or similar role.
  • Demonstrated proficiency in Microsoft Office Suite (Excel, Word, PowerPoint and Outlook).
  • Experience in preparing reports, dashboards and data analysis.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication skills both oral and written which also requires excellent skills in grammar, proofreading, presentation and organization.
  • Demonstrated ability of maintaining highly confidential information based on a high degree of personal integrity, professionalism and commitment.
  • Detail-oriented with strong follow-through.
  • An overall good attendance, quality and work record while presenting a positive/professional image.
  • Ability to perform the essential functions assigned to the position.
  • Compliance with all rules of conduct, safety regulations and policies provided in Employee Handbooks, on Company bulletin boards/announcements, terms/conditions of employment or other means of communication is a requirement of the job.

  • Experience in a manufacturing or industrial environment is preferred.
  • Prior experience with QHSE&E systems is highly preferred.

Responsibilities

  • Coordinate activities with QHSE&E contractors and external service providers.
  • Maintain, organize, and archive QHSE&E records, manuals, and documentation.
  • Arrange meetings and training sessions; prepare agendas, distribute materials, and document minutes.
  • Assist with developing reports, presentations, metrics, and dashboards.
  • Track action items from audits, inspections, and incident investigations and follow up with responsible personnel.
  • Provide administrative support to Division Directors and Local QHSE&E Managers/Supervisors as needed.
  • Collect, consolidate, and validate QHSE&E data from multiple internal and external sources.
  • Maintain manual spreadsheets and update internal systems such as S@VE, Lotus Notes, and Assure.
  • Generate routine data reports for Global, Division, and Local stakeholders.
  • Enter and update information including inspections, incidents, corrective actions, and training records.
  • Serve as a central point of contact for general QHSE&E inquiries.
  • Distribute quality, safety, and compliance alerts to appropriate teams.
  • Notify employees of updates or changes to QHSE&E documentation and guidelines.
  • Maintain coordination between Division and Local teams to ensure timely completion of QHSE&E activities.
  • Support onboarding of new employees by providing QHSE&E orientation materials.
  • Assist in creating QHSE&E training classes and materials aimed at building manufacturing workforce capability.
  • Organize QHSE&E training events; managing registration, attendance tracking, and participation records.
  • Maintain training logs and assist in preparing reports on training performance and compliance.
  • Prepare standard HSE reports for Global and Plant Compliance Officers (PCOs).
  • Provide administrative support for Safety Improvement Team meetings, HSE Network sessions, and similar forums.
  • Receive incident or near‑miss reports from employees, provide initial guidance, and relay information to appropriate Division personnel.
  • Enter incident data into S@VE and issue overdue action item notifications to HSE Engineer and responsible owners.
  • Coordinate waste pickup services with approved vendors.
  • Conduct first aid and PPE stock audits; communicate inventory status to HSE team and supplier partners.
  • Draft the monthly QHSE&E newsletter for review and finalization by the HSE team.
