About The Position

The Purchasing Data Entry Coordinator plays a key role in supporting the Purchasing Department by accurately entering and maintaining purchasing, pricing, product, and vendor data. This position is ideal for a detail-oriented and highly organized professional who enjoys working with data, has strong Microsoft Excel skills, and thrives in a fast-paced, team-oriented corporate office environment. By ensuring data accuracy and timely updates, the coordinator helps buyers make informed purchasing decisions and supports smooth purchasing operations.

Requirements

  • Proven experience performing high-volume and accurate data entry, particularly in Microsoft Excel.
  • Strong proficiency in Microsoft Excel, including data entry, spreadsheet management, and basic data analysis.
  • Experience working with purchasing, procurement, or purchase order processes.
  • Ability to maintain and update databases and Excel spreadsheets with a high level of accuracy and attention to detail.
  • Previous experience working in a corporate office or headquarters environment.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced setting.
  • Effective written and verbal communication skills for collaborating with internal teams.
  • Ability to follow established processes and maintain confidentiality of sensitive purchasing and vendor information.

Nice To Haves

  • Experience with inventory-related data and order entry processes.
  • Hands-on experience using Microsoft Office, including Outlook for communication and document handling.
  • Background in administrative support within purchasing, procurement, or a related business function.
  • Customer service experience supporting internal teams or stakeholders.

Responsibilities

  • Perform accurate and timely data entry related to purchasing, pricing, products, inventory, and vendors.
  • Maintain and update purchasing records, spreadsheets, and databases to ensure information remains current and reliable.
  • Utilize Microsoft Excel for data analysis, reporting, reconciliation, and Excel-based modeling to support purchasing decisions.
  • Assist with purchase order creation, processing, and documentation, ensuring all required information is complete and properly recorded.
  • Review data for accuracy, identify discrepancies, and take action to resolve errors in a timely manner.
  • Communicate with internal teams to provide updates on purchasing data, pricing changes, and vendor information.
  • Support buyers and purchasing staff with administrative and analytical tasks related to procurement and order entry.
  • Provide general administrative support to the Purchasing Department, including managing emails and documentation in Microsoft Outlook.
  • Deliver professional and responsive customer service to internal stakeholders regarding purchasing and data inquiries.
  • Follow established processes, procedures, and confidentiality requirements when handling purchasing and vendor information.
