About The Position

The Purchasing & Receiving Agent plays a critical role in managing the procurement and receipt of goods and materials essential to the organization's operations. This position ensures that all purchasing activities comply with company policies and budgetary constraints while maintaining strong relationships with suppliers and vendors. The agent is responsible for verifying the accuracy and quality of received shipments, coordinating with internal departments to meet inventory needs, and resolving any discrepancies or issues related to orders. By efficiently managing purchasing and receiving processes, this role supports seamless supply chain operations and contributes to overall organizational efficiency. The Purchasing & Receiving Agent also maintains accurate records and documentation to support audit and reporting requirements.

Requirements

  • High school diploma or equivalent required; associate degree or higher in business, supply chain management, or related field preferred.
  • Proven experience in purchasing, receiving, or inventory management within a manufacturing, retail, or distribution environment.
  • Basic proficiency with procurement software and Microsoft Office applications, especially Excel.
  • Strong attention to detail and organizational skills to manage multiple orders and shipments simultaneously.
  • Ability to communicate clearly and professionally with vendors and internal stakeholders.

Nice To Haves

  • Experience with enterprise resource planning (ERP) systems such as SAP, Oracle, or similar platforms.
  • Knowledge of supply chain best practices and inventory control methodologies.
  • Certification in purchasing or supply chain management (e.g., CPP, CPSM) is a plus.
  • Familiarity with compliance standards and regulatory requirements related to procurement.
  • Demonstrated problem-solving skills and ability to work independently in a fast-paced environment.

Responsibilities

  • Coordinate and execute purchasing activities by sourcing suppliers, obtaining quotes, and placing orders in accordance with company policies.
  • Receive, inspect, and verify incoming shipments for accuracy, quality, and compliance with purchase orders.
  • Maintain accurate records of purchases, deliveries, and inventory adjustments using procurement and inventory management systems.
  • Communicate effectively with vendors and internal departments to resolve order discrepancies, delays, or quality issues.
  • Assist in inventory control by monitoring stock levels and collaborating with warehouse and production teams to ensure timely replenishment.
