Responsible for storing, purchasing, and receiving, all materials, products, mail and services for the resort and club. Essential Functions Will work with and report to Director of Finance. As food purchasing is the bulk of the position's time, the Executive Chef will be the primary day-to-day contact and leader for the Purchasing Manager position. Purchasing Manager will also work closely with the Food and Beverage Operations Manager for beverage ordering and internal controls. Responsible for putting away and organizing all food, dry good deliveries, and mail, with team, to include removing items from purchased container into appropriate storage container. Collaborate with the Executive Chef to ensure all walk-ins, freezers, coolers, and dry storage are always clean, neat, and organized and FIFO system is in place. Removal of all product packaging materials from kitchen facility into appropriate receptacle with co-ordination of stewarding team. Develops annual purchasing objectives for directly supervised materials, products, and services, with the goal of reducing costs and improving service to internal customers. Searches applicable markets for the best sources with a focus on utilizing Avendra. Evaluates requests for quotes on materials, products, and services. Prepares resort specifications and uses competitive bidding in negotiating to achieve the best value for resort and club purchases. Maximizes use of Avendra relationship to its fullest. Establishes and maintains effective communications with resort department heads. Responsible for data entry and management including utilizing Reeco for purchasing and receiving and data input into receiving logs. Responsible for inventorying stock in the general storeroom and preparing purchase orders through Reeco. Assumes duties and responsibilities of receiving all goods. Assists in month-end inventories. Participates in quarterly linen, china, glass and silver inventories and coordinates orders with food and beverage management. Maintains perpetual inventories on high volume operational supplies. Keeps all files current and up to date. Responsible for the cleanliness of the loading dock, dumpster and receiving areas, and ensuring traffic control outside this area (to include KC Grille). Coordinates off-site storage and participates in resort and club storage reviews. Participates in all F&B resort and club meetings. Attends weekly operational meetings and any other meetings that the Director of Finance deems necessary. Produces a daily receiving log and distributes to appropriate managers. Responsible for distributing all arriving mail and packages as soon as they are received. Prepares and distributes dry storage requisitions from purchasing storeroom for remote kitchens.
