The Purchasing Clerk is responsible for compiling requests from various sales orders, preparing purchase orders, tracking purchases, and addressing inquiries about orders. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively while working independently.

  • Compile requests from sales orders for approved material requisition.
  • Prepare purchase orders and send copies to vendors and originating departments.
  • Check inventory stocks to validate restocking needs.
  • Respond to vendor inquiries regarding orders, changes, and delivery requirements.
  • Contact vendors to ensure delivery schedules are met and prevent supply shortages.
  • Prepare and maintain purchasing files, reports, and price lists.
  • Conduct regular reviews of vendor accreditation for cost-effective supplies.
  • Monitor the status of requisitions, contracts, and orders.
  • Post order costs in the accounting system.
  • Recommend potential products or services to management based on customer needs.
  • Maintain customer records by updating account information.
  • Perform accounting and clerical tasks related to accounts payable transactions.
  • Implement and enforce company safety programs and policies.
  • High School Diploma required; Bachelor's Degree preferred or 5+ years related work experience in the industry.
  • Administrative writing skills are required.
  • General math skills are required.
  • Financial software skills are required.
  • Knowledge of accounts payable is necessary.
  • Proficient in data entry and able to review, enter, and verify invoices into the accounting system.
  • Ability to read, analyze, and interpret reports, spreadsheets, and policy documents.
  • Demonstrate attention to detail and time management skills.
  • Experience in procurement and purchasing (1 year preferred).
  • Ability to think creatively in finding new sales leads.
