About The Position

This position coordinates activity related to CP Rochester’s business vendors and works to continuously improve cost effectiveness and ensure budgetary targets are met.

Requirements

  • Associate’s degree with business/management background preferred.
  • Minimum of two years’ work experience preferred.
  • Proficient in the use of Microsoft Office Software with an emphasis on Excel and Word.
  • Must have demonstrated comfort and poise in working with staff in all positions and departments throughout the agencies and with vendors.
  • Must have demonstrated commitment to performing job duties and tasks at a high level of accuracy and detail.

Responsibilities

  • Imparts agency philosophy of “Equal Opportunity, Independence and Realization of Individual Potential” to children, families, program staff and community resources.
  • Maintains confidentiality of information relating to individuals and their families in accordance with agency policy.
  • Maintains and coordinates agency wide centralized purchasing.
  • Occasional purchasing for affiliate organizations.
  • Coordinates and executes all agency IT services and purchases.
  • Researches, coordinates, and evaluates Vendor Request for Proposals (RFP’s) to allow CP Rochester to deliver the best quality for the lowest cost.
  • Makes recommendations for proposals/vendor selection to CFO/Vice-President of Finance.
  • Maintains Business Associate Contracts in accordance with HIPAA standards.
  • Maintains consumer HIPAA systems to ensure confidentiality and adherence to regulatory requirements.
  • Manages Vendor Credit Application processes and serves as a liaison between vendors and agency employees.
  • Serves as Program Administrator for M&T Corporate Purchasing Cards.
  • Records and maintains Fixed Asset Listing and annual inventory checks for CP Rochester and SRO, Inc.
  • Monitors minor equipment inventory for budgetary purposes.
  • Responsible for coordinating and implementing off-site record storage, information management and document destruction timeline for the Agency.
  • Assists Accounts Payable with vendor invoice reconciliation.
  • Enters monthly cash receipts in accounting software.
  • Monthly processing of EBT SNAP Benefit payments.
  • Serves as the main point of contact for all agency vendors for ordering purposes.
  • Maintains a high level of confidentiality.
  • Participates in conferences, workshops and in-service training as needed or recommended to enhance job skills and personal growth and development.
  • Adheres to agency’s policies and procedures as well as department guidelines.
