About The Position

The Purchasing & Event Specialist will perform a wide range of purchasing, office administrative duties, and support employee event and engagement activities. This role follows a hybrid work model that supports a blend of in-office (3 days a week) and remote work. Job duties include: Initiates purchase orders, coordinates on the development of contracts when needed, processes change orders, and manages receiving of supplier invoices Serves as a main point of contact for purchasing requests for the Site Operations Department, active Research Units and other research groups as needed Provides administrative support to Site Operations team members and Sourcing colleagues on Requests for Qualifications and Proposal processes Review quotes and proposals for accuracy and compliance with company policies while managing supplier invoices, procurement card transactions, and expense reports using SAP/Ariba and Concur Act as a liaison between the department and the Global Enterprise Solutions (GES) Team on all purchasing, accounts payable, new vendor and account set ups, and issues when they arise Perform general administrative support duties, including scanning, copying, filing, data entry, routing documents for signatures (DocuSign), and ordering office supplies for the department as needed. Develop and maintain the document management system and governance for the department while regularly updating and maintaining information and documents for the department website. Provide administrative support for quarterly meetings and new hire onboarding, along with event coordination and logistics support for events from initial planning through post-event evaluation, including calendar management and campus-wide messaging. Track event budget spending to ensure fiscal responsibility Represent the Site Operations team on campus wide committees Support employee engagement activities and initiatives for the campus and Site Operations, provide administrative and logistical support for large-scale meetings and employee-focused activities, and assist with drafting internal communications and distributing event and informational announcements.

Requirements

  • Bachelor’s Degree Finance, Business Administration, and other business fields.
  • 3 + years of administrative and event planning experience
  • Strong verbal and written communication skills, excellent organizational skills, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Forms).
  • Strong interpersonal skills necessary to effectively relate to diverse stakeholders, including senior leadership, scientists, and colleagues across the campus.
  • Proficiency to exercise good judgment and make decisions in a variety of situations.
  • Capability to work under pressure at times and handle a wide variety of activities and confidential matters with tact, discretion, and diplomacy.
  • Team player with a track record of developing rapport and credibility with colleagues.

Nice To Haves

  • Familiarity and experience with Ariba, SAP, and Concur (preferred; not required).
