About The Position

As a Purchasing Agent, you will be responsible for procuring goods and services required by the organization while ensuring the best quality, pricing, and delivery terms. Your primary objective will be to source and evaluate suppliers, negotiate contracts, and maintain positive relationships to optimize the organization's procurement process. You will work closely with internal stakeholders to understand their needs, manage purchase orders, and monitor supplier performance to ensure efficient and cost-effective procurement operations.

Requirements

  • Strong knowledge of Microsoft Office Suites (Word, Excel, PowerPoint, Outlook)
  • Experience with NetSuite
  • Familiarity with supply chain management software and tools.
  • Strong negotiation and contract management skills.
  • Excellent analytical and problem-solving abilities.
  • Effective communication and interpersonal skills to liaise with internal stakeholders and suppliers.
  • Attention to detail and accuracy in managing purchase orders and contracts.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Knowledge of legal and regulatory requirements related to purchasing and contracts.
  • High school diploma or equivalent required.
  • Proven work experience as a Purchasing Agent or in a similar procurement role (3+ years).
  • Sound knowledge of procurement principles, processes, and best practices.

Responsibilities

  • Identify and evaluate potential suppliers based on quality, reliability, pricing, and delivery capabilities.
  • Negotiate terms, conditions, and pricing agreements with suppliers to ensure favorable terms for the organization.
  • Monitor supplier performance, resolve issues or disputes, and maintain strong relationships with key suppliers.
  • Collaborate with internal departments to understand their procurement needs and specifications.
  • Prepare and process purchase orders accurately and promptly.
  • Ensure compliance with procurement policies, procedures, and contractual terms.
  • Conduct cost and price analysis to evaluate supplier proposals and determine the most cost-effective purchasing options.
  • Identify opportunities for cost savings and negotiate pricing to achieve favorable terms.
  • Monitor market trends and fluctuations to assess price impact and make informed purchasing decisions.
  • Work closely with inventory control and demand planning teams to ensure optimal stock levels.
  • Coordinate with suppliers and internal teams to track delivery schedules, expedite orders when necessary, and minimize stockouts or excess inventory.
  • Maintain accurate inventory records and update relevant stakeholders on stock availability.
  • Review and negotiate contracts with suppliers to ensure compliance with legal, quality, and performance requirements.
  • Monitor contract renewals, expiration dates, and terms to manage supplier relationships proactively.
  • Collaborate with legal and procurement teams to resolve contract-related issues and disputes.
  • Establish and maintain key performance indicators (KPIs) to assess supplier performance.
  • Conduct regular performance reviews and supplier audits to ensure adherence to quality, delivery, and service standards.
  • Collaborate with suppliers to address any performance gaps and implement continuous improvement initiatives.
