About The Position

The Purchasing Administrative Coordinator provides administrative and systems support to the Purchasing Department across all company divisions. This role ensures accurate purchase order processing, vendor communication, system data entry, and cross-functional support for estimating and preconstruction teams. The ideal candidate is detail-oriented, organized, and comfortable working within multiple software platforms in a fast-paced construction environment.

Requirements

  • 2+ years of administrative experience, preferably within construction, purchasing, or operations.
  • Experience with construction management or ERP systems (Procore, RFMS, Comsense preferred).
  • Strong organizational and time-management skills.
  • High attention to detail and data accuracy.
  • Proficient in Microsoft Office (Excel, Outlook, Word).
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Responsibilities

  • Serve as Purchasing backup for all divisions within Procore, RFMS, Comsense, and Sage.
  • Enter and manage purchasing requests through KissFlow.
  • Input and maintain Vendor Promise Dates within RFMS to ensure accurate project scheduling and reporting.
  • Enter purchase orders for sports flooring logos.
  • Process and place Milburn stock order purchase orders.
  • Coordinate and place Sunrise stock orders.
  • Execute ToolWatch stock order placement.
  • Manage and coordinate Milburn low-dollar estimating requests from vendors.
  • Communicate with vendors as needed to obtain pricing, confirmations, and documentation.
  • Provide administrative support to the Preconstruction team, including document preparation, data entry, and coordination assistance.
  • Maintain accurate digital records and ensure documentation is properly filed within company systems.
