About The Position

The Public Records Specialist is responsible for coordinating, processing, and responding to a variety of public records requests in compliance with Washington State Public Records Act regulations. This role involves assessing requests, gathering records, ensuring compliance with legal mandates, and maintaining the integrity of sensitive information.

Requirements

  • Three years of administrative support experience, with six months directly related to public records requests.
  • Completion of the twelfth grade or equivalent.

Responsibilities

  • Receive, review, and log all public records requests submitted to the department.
  • Assess the scope of each request to determine processing authority or routing to other departments.
  • Track and prioritize requests to ensure timely responses.
  • Locate and gather department records to determine existence of responsive records.
  • Communicate in writing with requestors regarding unusual requests that may cause delays.
  • Review collected records for responsiveness and completeness.
  • Make independent determinations regarding statutory exemptions and document reasons for redactions.
  • Coordinate responses to requests outside the employee's authority by routing to appropriate parties.
  • Compile documents and prepare formal responses to requestors once approved by management or legal counsel.
  • Redact exempt information accurately and document reasons for non-disclosure.
  • Consult with legal counsel regarding public records disclosures and exemptions.
  • Organize, index, archive, scan, copy, retain, upload, and retrieve records and documents.
  • Maintain and establish filing systems and audit records according to retention schedules.
  • Input, organize, query, and ensure accuracy of data from automated database systems.
  • Assist the public with accessing information and responding to questions related to public records requests.
