About The Position

The Administrative Support Specialist I (Revenue) is responsible for performing secretarial and administrative tasks within the Revenue department of the City of Daphne. This part-time position involves providing support to management and staff, processing documentation, and ensuring efficient office operations. The role requires effective communication, organization, and customer service skills, as well as the ability to manage various administrative functions.

Requirements

  • High school diploma or GED.
  • 1 year of previous experience in secretarial work, basic bookkeeping, customer service, or data entry.
  • Valid State of Alabama driver's license.
  • Basic math skills and computer skills.

  • Knowledge of word processing and spreadsheet applications.

Responsibilities

  • Provides direction, training, guidance, and assistance to employees as assigned.
  • Coordinates daily work activities and monitors the status of work.
  • Provides secretarial/administrative support for management and/or staff of the assigned department.
  • Screens telephone calls, mail, e-mail, and other communications and initiates appropriate action/response.
  • Maintains department calendars and schedules meetings, appointments, or other activities.
  • Records and transcribes dictation, meeting proceedings, or other information.
  • Types, composes, edits, or proofreads various documentation.
  • Performs customer service functions, answering telephone calls and greeting visitors.
  • Processes a variety of documentation associated with department operations within designated timeframes.
  • Acts as liaison with other departments and the public regarding office programs or operations.
  • Coordinates calendar activities for the department, including scheduling appointments and meetings.
  • Processes purchasing documentation and maintains purchasing records.
  • Processes invoices for payment and assists with budget preparation.
  • Maintains petty cash fund for assigned area and monitors inventory of department supplies.
  • Processes incoming/outgoing mail and assists with preparation of bulk mail-outs.
  • Maintains file system of various files/records for the department and conducts research as needed.
