About The Position

The Residency Program Coordinator for Psychiatry is responsible for managing all aspects of the accredited training program and their approximate 56 trainees. This position represents their training programs on behalf of the University GME office, the Dept of Psychiatry, the School of Medicine and the University of Colorado. The Residency Program Coordinator is responsible for exercising discretion, analytical skill, personal accountability, and responsibility in a wide range of areas including academic, administrative, managerial and student services functions.

Requirements

  • Bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • An advanced degree (Masters or Doctorate) may be substituted for experience on a year for year basis if the degree is in a field of study directly related to the work assignment.
  • Applicants must meet minimum qualifications at the time of hire.

Responsibilities

  • Performs coordinator duties as related to planning, directing and coordinating academic, operational and financial activities of the residency
  • Assist in managing all aspects of the recruitment process yearly
  • Onboard all residents to all required program sites. This includes managing all required GME, HR and affiliate site paperwork, badging, security access, EPIC training, parking access, state licensure applications, hospital privileges and credentialing, Medicaid forms and other GME forms as needed.
  • Assist in planning yearly orientations for residents, including program expectations, policies and procedures
  • Manage MedHub and WebAds, online programs required by GME and ACGME for reporting as well as all other necessary reporting tools required by the University or national accreditation boards.
  • Help in creation of schedules and FTE allocation of residents yearly.
  • Ensures residents and faculty are completing all requirements of program to include exams, procedures, evaluations and certifications
  • Help maintain resident records and respond to all requests for verification of training or letters of reference
  • Assist in annual budgeting for the residency
  • Help coordinate accreditation activities including ACGME site visits and self-studies and annual program reviews (APE)
  • Works closely with program director on program policies and procedures, annual updates and program manual. Ensures that program, site and GME policies and procedures are enforced
  • Manage the day-to-day operations for the residency such as resident evaluations, vacation scheduling and approval, and resident didactics
  • Help coordinate and participate in clinical competency committee meetings, program evaluation committee meetings and strategic planning meetings to ensure compliance with the various accreditation bodies (ACGME, GME, ABPN)
  • Maintain and ensure accuracy of program letters of agreement (PLAs) with all training sites
  • Assist as needed with general residency committees, communications and meeting planning
  • Act as back up for other Psychiatry program coordinators and the Medical Student Coordinator
  • Manage all residency purchase processes and reimbursements for resident and fellow educational funds. Help with department travel arrangements and expenses when needed. Lead contact for Concur and Marketplace functions, orders and invoicing.
  • Tracking and coordination of CSV’s, Vignette Exams, AFT’s and other evaluations, PRITE prep and exam, and schedule residency room needs on campus through EMS
  • Organize, plan and run resident retreats
  • Coordinate catering and events as needed
