About The Position

The Purchasing Coordinator is responsible for overseeing the purchasing department's operations at the college, which includes locating suppliers, researching supplies, services, and equipment, and managing vendor files and purchase orders. This role ensures compliance with relevant policies and procedures while coordinating purchasing functions and maintaining effective communication with college staff and external vendors.

Requirements

  • Associate's degree in business related field and 5 years purchasing or business-related experience, or a high school diploma and 7 years purchasing or business-related experience.
  • Knowledge of purchasing principles, accounting, contracts, and online computer systems.
  • Proficiency in spreadsheet and word processing software.
  • Excellent communication and customer service skills.

Nice To Haves

  • Experience with eProcurement systems like PelliBiz.
  • Familiarity with the Tennessee Board of Regents policies and procedures.

Responsibilities

  • Coordinate purchasing functions of the College, ensuring compliance with policies and procedures.
  • Confer with College staff regarding purchases of supplies, services, and equipment.
  • Approve requisitions for supplies, services, and equipment, verifying vendors and specifications in the eProcurement system.
  • Obtain, document, and process purchasing bids and proposals, maintaining bid and proposal files.
  • Maintain college vendor files and W-9 information, processing new vendor requests.
  • Generate and verify purchasing reports for submission to the Tennessee Board of Regents.
  • Assign equipment identification numbers and assist with inventory questions.
  • Serve as College representative on the TBR Council of Buyers and participate in related committees.
