About The Position

Performs highly complex (senior-level) consultative services and technical assistance work under the limited supervision of the Vaccine Data & Finance Group Manager, with moderate latitude for the use of initiative and independent judgment. The Provider Support Team Lead position is responsible for providing quality and efficient customer service and training through the oversight of a team by providing guidance on projects, training, and problem solving. Additionally, the position is responsible for collaborating and assisting internal and external stakeholders such as providers, other DSHS staff, and partner agencies such as the Texas Department of Emergency Management (TDEM). The VDF Provider Support team is a collaborative team-oriented environment. The Provider Support Team Lead runs the day-to-day operations of the shipments email inbox and VAOS activity to ensure inquiries are answered in a manner that meets service-level objectives. This includes, but is not limited to, vaccine order tracking, ensuring accurate inventory management, vaccine dose level accountability per the Texas Legislative Budget Board reports, CDC, DSHS, and other internal and external stakeholders requirements.

Requirements

  • Knowledge of program planning and process implementation.
  • Skills in planning, developing, and implementing procedures and work systems to manage multiple tasks, heavy workloads, and frequent deadlines.
  • Extensive PC skills including Microsoft Word, Excel, Access, PowerPoint, Outlook, developing electronic reports from databases, and other relevant software applications.
  • Skill in supervising, leading, and training others.
  • Ability to complete highly detail-oriented assignments.
  • Ability to initiate plans, organize work, and make decisions with minimal supervision.
  • Ability to gather and analyze data and facts, and to devise solutions to problems.
  • Ability to communicate processes and procedures clearly and effectively to others.
  • Graduation from an accredited four-year college or university is preferred.
  • Two years of experience in public health, health promotion and education, and/or immunizations.
  • Experience in customer service.
  • Experience leading teams or managing collaborative projects.
  • Experience with Microsoft Word, Excel, Access, PowerPoint, Outlook, and other relevant software applications.

Responsibilities

  • Serves as the team lead for the Provider Support Team. Provides daily direction and communication to employees to ensure customer service operations are answered in a timely, efficient, and knowledgeable manner.
  • Works closely with the VDF Manager to oversee, plan, and direct educational and training programs and activities that incorporate existing initiatives and federal and/or state requirements.
  • Analyzes performance data to help ensure project activities are effective.
  • Coordinates and manages provider vaccine transfers for the Vaccine Operations Unit.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
