Position Overview: We are seeking a highly organized and clinically aware Provider Relations Coordinator to support admissions and care coordination for Kaiser-referred members. This role is ideal for someone with behavioral health admissions experience who thrives in a fast-paced, detail-oriented environment and understands the importance of accurate assessments, payer communication, and continuity of care.

Requirements

  • Minimum 2 years of experience in behavioral health admissions, intake, or care coordination (preferred over general customer service)
  • Strong understanding of mental health and substance use disorders, levels of care, and clinical documentation standards
  • Experience working with Kaiser Permanente or similar managed care systems strongly preferred
  • Proficiency in Salesforce and/or Kipu EMR (or similar systems)
  • Exceptional organizational skills and ability to manage multiple cases simultaneously
  • Clear, professional communication skills with both clinical teams and external partners
  • High school diploma required
  • Ability to work at-least 50% on-site at our Larchmont offices located in Los Angeles

Responsibilities

  • Serve as a primary point of contact for Kaiser members seeking treatment, providing guidance, support, and clear next steps throughout the admissions process
  • Conduct comprehensive biopsychosocial assessments for mental health and substance use treatment, ensuring clinical accuracy and appropriate level-of-care recommendations
  • Manage the full admissions lifecycle from initial inquiry through placement, maintaining efficiency and attention to detail at every stage
  • Coordinate directly with Kaiser representatives regarding referrals, authorizations, and member status updates
  • Prepare and submit complete admission documentation, including assessments, medical records, authorization details, and admission scheduling
  • Accurately document and track client information in Salesforce and Kipu EMR systems
  • Communicate admission logistics and clinical details with internal teams to ensure seamless transitions into care
  • Monitor discharges and ensure timely completion and submission of discharge summaries to Kaiser
  • Collaborate with leadership to maintain compliance, documentation quality, and process improvement
  • Uphold strict standards for confidentiality, accuracy, and regulatory compliance
