About The Position

The Proposals Specialist at Grand Isle Shipyard is responsible for leading all phases of the proposal development process, ensuring that each proposal is well-organized and effectively represents the company. This remote position requires collaboration with internal teams and clients, compliance with proposal requirements, and the use of various software tools to manage proposal tasks. The role is essential for supporting the company's growth in the energy sector by delivering high-quality proposals.

Requirements

  • Bachelor's degree in human resources, Business, or a related field preferred, or equivalent work experience.
  • 5+ years of experience in Proposals development (start to finish) responding to RFP, RFI, and Pre-Qualifications.
  • Previous experience in energy, industrial, infrastructure, or power industries.
  • Proficiency using Microsoft 365, SharePoint, and customer relations management software.
  • Excellent time management skills.
  • Ability to effectively communicate with peers, co-workers, executives, and clients.
  • Ability to work effectively in a remote setting.
  • Ability to travel up to 10% of work time.
  • Experience navigating various client online platforms.

Responsibilities

  • Provide consistent customer service to internal and external clients, maintaining a respectful work environment.
  • Lead receiving, interpreting, distributing, and completing proposal-related information and inquiries from clients.
  • Facilitate Go/No Go, kick off, and development meetings for new opportunities.
  • Collaborate with internal subject matter experts to develop and submit opportunities.
  • Coordinate responses to clients and ensure appropriate internal stakeholders are invited to client-led meetings.
  • Ensure compliance with GIS and client proposal requirements.
  • Navigate CRM software for proposal-related tasks and actions, maintaining a high level of comprehension to provide support to other users.
  • Notify appropriate team members of new opportunities and client updates.
  • Create and maintain SharePoint folders related to assigned opportunities and tasks.
  • Use RFP response software to create proposals, assign questions, export templates, create library entries, and assign user access.
  • Format and edit proposals with focus on completing milestones and meeting deadlines.
  • Navigate client portals to retrieve information, communicate with clients, and submit proposal responses.
  • Set and facilitate proposal development meetings, as appropriate for each opportunity.
  • Track client addendums and clarifications, providing updates to internal stakeholders and storing documents in SharePoint.
