About The Position

The primary function of the Proposal Development Specialist is to own the overall process, approach, and content of responding to RFx of various types: Requests for Proposals (RFP), Requests for Information (RFI), and information requests as related to new and existing business development. Other functions for this role include persuasive, business writing expertise, transforming legacy content into business winning language, carrying the written content into the demo presentation, assuring Press Ganey is presenting based on the written response. As part of the Global Bid Team, this role works in collaboration with the appropriate growth personnel in the preparation of responses to formal bids and related tasks. The Proposal Development Specialist is expected to execute on/implement and support processes that ensure the seven criteria for bid/proposal success: Customized Strategy, Compliance, Responsiveness, Competitive Focus, Persuasive Business Writing, Visualization, Page and Document Design, and Demo Presentation. In this role, the Proposal Development Specialist works collaboratively and cross-functionally with subject matter experts (SMEs) in all areas of the company, and therefore maintains working knowledge of all aspects of our business, including our mission to offer the most innovative and connected Human Experience platform designed to turn data into insights, and insights into stories that change the world, what services we offer, the varying functionality of all services, and how to apply this knowledge to proposals. This position is responsible for ensuring that documents are compliant with all bid requirements, Press Ganey corporate branding standards, facilitating the proposal review process, writing, and developing content and publication/production of the final proposal. The Proposal Development Specialist also supports the maintenance of related software systems in use by the team (e.g., proposal management software- Responsive, Salesforce, SharePoint, etc.).

Requirements

  • Experience using and/or managing proposal management software or similar knowledge base software, preferably Responsive.
  • Experience with RFP bid sites such as Workday-Scout, Conductiv, Jaegger, Coupa etc.
  • 2+ years RFx/proposal creation experience, preferred.
  • 2+ years persuasive business writing experience, required.
  • Advanced proficiency in Microsoft Word, Excel, Power Point and Adobe Acrobat.
  • Preferred - formal proposal industry training certification (e.g. Association of Proposal Management Professionals (APMP) Certification, Shipley or similar program).
  • Education/training equivalent of 4-year college program (e.g., Bachelor’s Degree).

Responsibilities

  • Collaborate on the strategy, and response effort to deliver winning proposals to clients and prospects through collaboration with the Growth team and Senior leadership.
  • Ability to effectively organize and lead projects from small to large, execute numerous simultaneous tasks, and demonstrate ability to prioritize — all while under multiple, fast-paced deadlines.
  • Project manages the RFP from start to finish, pulling down content from the Bid Site, uploading to Responsive, drafting response answers, submitting to bid site, preparing demo presentation draft, project managing SMEs and demo to completion.
  • Ability to craft a solution and create custom language that is persuasive, concise and wins business based on account strategy as determined by the account team.
  • Focus on delivering customized content, relevant to the prospect/client, and carried through from the written proposal to the demo presentation, with a critical eye on all design and content.
  • Utilization and management of Responsive content library platform, updating the library based on your project where appropriate.
  • Demonstrate high attention to detail in all areas of RFx process.
  • Excellent interpersonal, written, and verbal communication skills (with all levels of the organization) and training, including grammar, style, spelling, punctuation, and proofreading skills.
  • Familiar with writing style guides and formats.
  • Excellent time management and organizational skills working with geographically dispersed staff, with a highly tuned sense of urgency.
